There's the idea, the script, what we need to film, the equipment, the footage, editing notes, tasks, the thumbnail, the title and eventually the publication date.\r\n      <\/p>\r\n\r\n      <p>\r\n        If all we have in our task list is \"make video\", none of that is very visible. We still have to remember everything ourselves.\r\n      <\/p>\r\n\r\n      <p>\r\n        Breaking production into clear stages means we can come back to a project and understand where we are without having to remember the whole history of the video first.\r\n      <\/p>\r\n\r\n      <div class=\"peliku-article-callout\">\r\n        <span class=\"peliku-article-callout-title\">The simple version<\/span>\r\n        <p>\r\n          We use a workflow so we can see what has already been done, what's happening now and what still needs to happen before the video can go live.\r\n        <\/p>\r\n      <\/div>\r\n\r\n\r\n      <h2>Our video production workflow in practice<\/h2>\r\n\r\n      <p>\r\n        Our workflow wasn't always the one we use today. We've changed it while building and using Peliku because some stages that sounded clear on paper weren't actually clear enough once we started using them on real projects.\r\n      <\/p>\r\n\r\n      <p>\r\n        Today, our full content workflow looks like this:\r\n      <\/p>\r\n\r\n      <div class=\"peliku-workflow\">\r\n        <span class=\"peliku-workflow-step\">Idea<\/span>\r\n        <span class=\"peliku-workflow-step\">Preparation<\/span>\r\n        <span class=\"peliku-workflow-step\">Script<\/span>\r\n        <span class=\"peliku-workflow-step\">Ready to shoot<\/span>\r\n        <span class=\"peliku-workflow-step\">Shooting<\/span>\r\n        <span class=\"peliku-workflow-step\">Editing<\/span>\r\n        <span class=\"peliku-workflow-step\">Approved<\/span>\r\n        <span class=\"peliku-workflow-step\">Scheduled<\/span>\r\n        <span class=\"peliku-workflow-step\">Published<\/span>\r\n      <\/div>\r\n\r\n      <p>\r\n        The idea exists before production really starts. Once we decide we're actually making the content, it moves into Preparation and starts going through the production stages.\r\n      <\/p>\r\n\r\n\r\n      <h3>1. We prepare the video before we start writing it<\/h3>\r\n\r\n      <p>\r\n        We used to jump pretty quickly from an idea into a script. Sometimes that worked. Other times we'd start writing and realise we hadn't really decided what the video was trying to say.\r\n      <\/p>\r\n\r\n      <p>\r\n        Now we use Preparation to work out the basics first. What's the goal? Who are we talking to? What's the angle? What's the main thing we want someone to remember?\r\n      <\/p>\r\n\r\n      <p>\r\n        We can also note things like the problem we're addressing, the main benefit and the emotion we're trying to create when that level of detail is useful. We don't need all of that for every video.\r\n      <\/p>\r\n\r\n      <p>\r\n        The important part is that by the time we start writing, we have a clearer idea of what we're actually trying to make.\r\n      <\/p>\r\n\r\n\r\n      <h3>2. Then we work on the script<\/h3>\r\n\r\n      <p>\r\n        A script doesn't always mean writing every single word. Sometimes that's exactly what we need, especially if the wording matters or we're using a prompter. Other times a few structured talking points are enough.\r\n      <\/p>\r\n\r\n      <p>\r\n        What we want from this stage is a clear path through the video. We should know how we're starting, what we're explaining and where we're trying to end up.\r\n      <\/p>\r\n\r\n      <p>\r\n        We also keep the script separate from the rest of the production preparation because we learned that a finished script doesn't automatically mean we're ready to film.\r\n      <\/p>\r\n\r\n      <p>\r\n        If writing is the part that tends to slow you down, we've also shared our approach in\r\n        <a href=\"https:\/\/peliku.com\/blog\/how-to-write-a-video-script\/\">how to write a video script<\/a>.\r\n      <\/p>\r\n\r\n\r\n      <h3>3. Ready to shoot means we've checked the rest too<\/h3>\r\n\r\n      <p>\r\n        This stage exists because we've finished scripts before and still arrived at filming without everything we needed.\r\n      <\/p>\r\n\r\n      <p>\r\n        Maybe we hadn't planned an important shot. Maybe we needed a product, prop or location. Maybe we knew what we wanted to say but hadn't thought enough about what people would actually see.\r\n      <\/p>\r\n\r\n      <p>\r\n        Before we call something <strong>Ready to shoot<\/strong>, we try to make sure we could genuinely start filming it.\r\n      <\/p>\r\n\r\n      <ul>\r\n        <li>The script or talking points are ready<\/li>\r\n        <li>We know the important shots we need<\/li>\r\n        <li>The equipment is available<\/li>\r\n        <li>The location is sorted if we need one<\/li>\r\n        <li>Props or products are ready<\/li>\r\n        <li>We know when we're filming<\/li>\r\n      <\/ul>\r\n\r\n      <p>\r\n        A simple social video might only need a couple of those things. Filming gets easier when we've done the thinking first<\/h3>\r\n\r\n      <p>\r\n        Filming is the part everyone sees, but for us it's often much easier when the work before it has gone well. We already know what we're saying, what we need to capture and what the finished video is supposed to look like.\r\n      <\/p>\r\n\r\n      <p>\r\n        Of course, things still change once the camera is on. We might find a better way to explain something or realise a shot isn't working. The workflow isn't there to stop that.\r\n      <\/p>\r\n\r\n      <p>\r\n        It just means we're making those creative decisions on top of a plan instead of trying to invent the whole video while we're filming it.\r\n      <\/p>\r\n\r\n\r\n      <h3>5. We try to give ourselves what we'll need in the edit<\/h3>\r\n\r\n      <p>\r\n        We've definitely reached the edit and realised we were missing something we could have filmed in thirty seconds while the camera was still set up.\r\n      <\/p>\r\n\r\n      <p>\r\n        That's why we try to think about editing while we're shooting. If we know we'll need B-roll to cover a cut, a close-up to explain something or another take of an important section, we'd rather capture it now.\r\n      <\/p>\r\n\r\n      <p>\r\n        We don't want to film endless footage we'll never use. We just want enough material that the edit doesn't become a puzzle with a missing piece.\r\n      <\/p>\r\n\r\n      <div class=\"peliku-article-quote\">\r\n        <p>\r\n          A lot of editing problems are much easier to solve while you're still filming.\r\n        <\/p>\r\n      <\/div>\r\n\r\n\r\n      <h3>6. Editing is more than putting clips on a timeline<\/h3>\r\n\r\n      <p>\r\n        \"Edit the video\" sounds like one task, but depending on the project it can include organizing footage, building the first cut, cleaning audio, adding music, graphics, subtitles, corrections and finally exporting the finished version.\r\n      <\/p>\r\n\r\n      <p>\r\n        We don't need every video to have the same editing checklist. What matters is being able to see what's actually left instead of leaving the project in a vague \"editing\" state forever.\r\n      <\/p>\r\n\r\n      <p>\r\n        We also want the information around the video to stay easy to find. The script, notes and tasks should still make sense when we reach this stage instead of being scattered across several places.\r\n      <\/p>\r\n\r\n\r\n      <h3>7. We added approval because finished and approved aren't always the same thing<\/h3>\r\n\r\n      <p>\r\n        When we're working alone, approval can be very simple. We watch the finished version, make sure we're happy with it and move on.\r\n      <\/p>\r\n\r\n      <p>\r\n        When someone else is involved, there may be feedback or corrections before the video is really finished. That's why <strong>Approved<\/strong> has its own place in the workflow.\r\n      <\/p>\r\n\r\n      <p>\r\n        It lets us separate a video that's still being changed from one that's genuinely ready for publication.\r\n      <\/p>\r\n\r\n\r\n      <h3>8. Scheduling and publishing are part of production too<\/h3>\r\n\r\n      <p>\r\n        We used to mentally finish a project when the edit was done. Then we'd remember there was still a thumbnail to make, a title to choose, a description to write and an actual publication to schedule.\r\n      <\/p>\r\n\r\n      <p>\r\n        So now we keep those last steps in the workflow. A video can be approved without being scheduled, and it can be scheduled without being published yet.\r\n      <\/p>\r\n\r\n      <p>\r\n        That sounds like a tiny distinction, but when several videos are moving at once it makes it much easier to see what's really finished and what's still waiting for something.\r\n      <\/p>\r\n\r\n\r\n      <hr class=\"peliku-article-separator\">\r\n\r\n\r\n      <h2>How we manage several video projects at the same time<\/h2>\r\n\r\n      <p>\r\n        This is where the workflow becomes much more useful for us. One video is easy enough to follow. Several videos in different stages are where our memory starts becoming a bad project management tool.\r\n      <\/p>\r\n\r\n      <p>\r\n        We might have one video being prepared, two scripts in progress, something ready to film, another project being edited and a finished video waiting to be published.\r\n      <\/p>\r\n\r\n      <p>\r\n        We don't want to open every project individually just to understand what we're supposed to be working on.\r\n      <\/p>\r\n\r\n\r\n      <h3>The Pipeline shows us where everything is<\/h3>\r\n\r\n      <p>\r\n        The Pipeline gives us a visual view of the production stages. We can see which projects are in Preparation, which are ready to shoot and which ones are sitting in Editing.\r\n      <\/p>\r\n\r\n      <p>\r\n        It doesn't need to tell us every little detail. Its job is simply to give us a quick picture of the production.\r\n      <\/p>\r\n\r\n\r\n      <h3>The calendar shows us when things are happening<\/h3>\r\n\r\n      <p>\r\n        The workflow tells us where a video is. The calendar tells us when something needs to happen.\r\n      <\/p>\r\n\r\n      <p>\r\n        We can keep shooting dates, publication dates, dated tasks and appointments in the same view. A video can stay in Editing while the tasks tell us that we still need to fix the audio, add subtitles and prepare the thumbnail.\r\n      <\/p>\r\n\r\n      <p>\r\n        That keeps the main workflow easy to understand without losing the details we still need to remember.\r\n      <\/p>\r\n\r\n\r\n      <h2>The mistakes that made our video production workflow harder<\/h2>\r\n\r\n      <p>\r\n        Most of the changes we've made to our workflow came from something going wrong often enough that we got tired of it.\r\n      <\/p>\r\n\r\n\r\n      <h3>Using a vague \"in progress\" status for everything<\/h3>\r\n\r\n      <p>\r\n        If five videos are all \"in progress\", we still don't know much. One might need a script, another might be ready to film and another could be almost finished.\r\n      <\/p>\r\n\r\n      <p>\r\n        More specific stages give us useful information without needing to open every project.\r\n      <\/p>\r\n\r\n\r\n      <h3>Filming before we're ready<\/h3>\r\n\r\n      <p>\r\n        Sometimes spontaneous content is exactly what we want. But for a planned video, starting before we've worked out the message and the important shots usually creates more work later.\r\n      <\/p>\r\n\r\n      <p>\r\n        We would rather spend a little more time preparing than spend much more time trying to fix the same problem during editing.\r\n      <\/p>\r\n\r\n\r\n      <h3>Thinking the script contains everything we need for filming<\/h3>\r\n\r\n      <p>\r\n        The script tells us what we're saying. It doesn't necessarily tell us every shot, prop, location or piece of equipment we need.\r\n      <\/p>\r\n\r\n      <p>\r\n        That's why scripting and production preparation stay separate for us.\r\n      <\/p>\r\n\r\n\r\n      <h3>Thinking the edit is the finish line<\/h3>\r\n\r\n      <p>\r\n        We wish it was. There's still everything needed to actually get the video online.\r\n      <\/p>\r\n\r\n      <p>\r\n        Once we started treating publishing as part of production, we had fewer videos sitting around \"finished\" but unpublished.\r\n      <\/p>\r\n\r\n\r\n      <h3>Adding more structure than the project needs<\/h3>\r\n\r\n      <p>\r\n        A detailed YouTube production might need scripts, shooting plans, several tasks and multiple production dates. A simple Reel might not.\r\n      <\/p>\r\n\r\n      <p>\r\n        We don't want the workflow to make a small piece of content feel like a huge production. We use the amount of structure that actually helps.\r\n      <\/p>\r\n\r\n      <div class=\"peliku-article-callout\">\r\n        <span class=\"peliku-article-callout-title\">What works for us<\/span>\r\n        <p>\r\n          We want enough structure to know what's happening, but not so much that updating the workflow becomes another project.\r\n        <\/p>\r\n      <\/div>\r\n\r\n\r\n      <hr class=\"peliku-article-separator\">\r\n\r\n\r\n      <h2>What tools can you use for a video production workflow?<\/h2>\r\n\r\n      <p>\r\n        You don't need Peliku to have a video production workflow. You can build one with plenty of different tools, and if your current setup works well, there's no reason to change it just for the sake of changing.\r\n      <\/p>\r\n\r\n      <div class=\"peliku-tool-grid\">\r\n\r\n        <div class=\"peliku-tool-card\">\r\n          <h3>Notion<\/h3>\r\n          <p>\r\n            Useful if you like building your own system. You can create databases, scripts, calendars and dashboards around your production, but you'll also be the one setting everything up.\r\n          <\/p>\r\n        <\/div>\r\n\r\n        <div class=\"peliku-tool-card\">\r\n          <h3>Trello<\/h3>\r\n          <p>\r\n            Simple and visual. Moving cards between production stages can work really well when you mainly need to see where each video is.\r\n          <\/p>\r\n        <\/div>\r\n\r\n        <div class=\"peliku-tool-card\">\r\n          <h3>ClickUp<\/h3>\r\n          <p>\r\n            More complete project management with tasks, automation and team features. That's actually how we ended up with the stages we use today.\r\n      <\/p>\r\n\r\n\r\n      <h2>There are still parts of the production process we want to bring into Peliku<\/h2>\r\n\r\n      <p>\r\n        Peliku doesn't cover every part of production yet, and we'd rather be clear about that.\r\n      <\/p>\r\n\r\n      <p>\r\n        One of the next big steps is connecting social media accounts. The goal is to let us publish directly to supported platforms such as YouTube, Instagram and TikTok instead of finishing the production in Peliku and then switching to each platform separately.\r\n      <\/p>\r\n\r\n      <p>\r\n        We also want publication statistics to come back into Peliku. That way, the workflow doesn't have to stop the second a video is published. We'll be able to see how content performs and use that information when planning what comes next.\r\n      <\/p>\r\n\r\n      <p>\r\n        Built-in file storage is planned too. Right now, external services such as Google Drive or Dropbox can still be part of the workflow.
