Peliku 1.2: A new Tasks tab to bring everything together

Tasks were already part of Peliku. The problem was that we still needed to open different projects to find them. So we gave them a proper home.

In Peliku 1.1, we turned tasks into a real part of the production workflow. We could assign them, give them a date and time, see them in the calendar and keep track of what had already been completed.

But once we started using them more, another problem became obvious: where do we go when we just want to see our tasks?

If we're working on several videos and several workspaces, opening each project one by one isn't very practical. Sometimes we don't care about the whole project. We just want to know what we need to do.

So Peliku 1.2 introduces a new Tasks tab. It's a central place for project tasks, global tasks and the work assigned to us across different spaces.

Why we needed a dedicated Tasks tab

Tasks started inside content projects because that's where a lot of the work happens. We might need to review a script, prepare something for filming, finish subtitles or create a thumbnail.

That works well when we're already inside the project.

It works less well when we start the day and simply want to know everything we need to do.

We could have a task inside one video, another inside a different project and something else that isn't related to content at all. Add a team workspace or two and the information starts getting spread around again.

We didn't want to replace the tasks inside content. We wanted another way to look at the same work.

The problem we wanted to solve

Sometimes we don't want to ask "What's happening with this video?" We just want to ask "What do I need to do?"

One place for content tasks and global tasks

The new Tasks tab brings together two types of work.

Content tasks

These are tasks linked to a specific piece of content. The project still gives them their context, but we no longer need to open it just to see the task.

Global tasks

These don't need to belong to a video. We can use them for organization, communication, strategy or anything else happening in the workspace.

This was important because not everything we do is a content task.

We didn't want to create a fake video project just because we needed somewhere to put "prepare next week's planning" or another general task.

Now both types can live in the task system while still keeping the difference between them clear.

The Tasks tab has two different views

This is probably the most important part of the update.

We realised there were actually two different questions we wanted the Tasks tab to answer:

  • What's happening in this workspace?
  • What do I personally need to do across all my workspaces?

Trying to answer both with one giant list would get confusing, so we separated them.

Active workspace

The first view is about the workspace we're currently in.

It brings together the tasks belonging to that space, whether they're attached to content or created as global tasks.

Content tasks are grouped by project, which means we can still understand where the work comes from without opening every video individually.

Global tasks are visible alongside them, and tasks without a date have their own section so they don't quietly disappear just because they aren't on the calendar.

Why keep undated tasks visible?

Not everything needs a deadline. But "no date" shouldn't mean "we'll never see this again."

All spaces

The second view is much more personal.

Instead of showing every task from every workspace, it only shows the tasks assigned to us.

So if we're part of a personal space and several teams, we can see our own work together without opening each workspace separately.

Each task still shows where it comes from. If it's attached to content, we can see the relevant project, and we can also see which workspace it belongs to.

That gives us one personal task list without mixing everybody else's work into it.

Tasks still keep all the features we added before

The new tab isn't a second task system. It's another view of the same tasks.

That means the things introduced in Peliku 1.1 still work here.

  • Status
  • Assignment to one or more members
  • Editable description
  • Date and time
  • Modification
  • Deletion
  • Real-time synchronization

A task can also exist without a date. We don't want to force deadlines onto work that doesn't need them.

When a date is useful, we can add one and the task becomes part of the calendar too.

The calendar and Tasks tab now work together

We don't want to choose between a task list and a calendar because they answer different questions.

The Tasks tab tells us what needs doing. The calendar tells us when dated work is happening.

All dated tasks can appear in the calendar, including global tasks.

That means we can look at a week and see content dates, appointments and the tasks we've actually planned for specific days.

And if something doesn't need a date, it can stay in the Tasks tab without cluttering the calendar.

Useful when we want to understand when production, appointments and dated tasks are happening.

We also thought about how this works in a team

Centralizing tasks sounds simple until several people and several workspaces are involved.

We didn't want the new Tasks tab to suddenly expose work from spaces where it doesn't belong or make everyone look at everybody else's personal task list.

So the rules stay tied to the existing workspace and role system.

Global tasks belong to their workspace

A global task created in a team space is visible to the members of that space.

It doesn't suddenly become a global task across the whole Peliku account. "Global" means global inside that workspace.

The All spaces view stays personal

When we switch to All spaces, we only see tasks assigned to us.

We're not creating one giant list containing every task from every team we're part of.

That keeps the view useful and avoids showing information we don't actually need.

Existing permissions still apply

We didn't create a completely separate permission system just for tasks.

The existing roles and workspace permissions continue to decide what people can see and change.

The idea

We want one place to see our work, not one place where every team's work gets mixed together.

The new Tasks tab works on mobile too

We didn't want to build a useful desktop task view and then squeeze it onto a phone afterwards.

The new tab was designed to stay usable on smaller screens, with the same basic information and actions available without relying on hover.

There's still a lot we want to improve across mobile as Peliku grows, but features like this need to be usable away from a desktop from the beginning.


What Peliku 1.2 changes in our daily workflow

Before this update, we could already create useful tasks. Now we have somewhere to actually manage them as a whole.

If we're working inside a project, the tasks are still there with the content. If we're planning the week, dated tasks are still in the calendar. If we just want to see what needs doing, we can open Tasks.

And if we're working across several spaces, we can switch to All spaces and see our assigned work together.

It's a fairly simple change to explain, but it makes the task system much more useful once we're working on several projects at the same time.

Peliku is becoming more than a list of content

This update is also part of a bigger change in the way we're thinking about Peliku.

We started with the content production workflow at the center, and that's still where everything begins. But creating content also means managing the work around it.

There are things to prepare, things to remember, work that belongs to a project and work that doesn't. And when we're part of several spaces, we need a way to understand our own workload without jumping around the app.

The new Tasks tab is another step toward making Peliku the place where we can actually manage that day-to-day production, not just record where a video is.

All the tasks. One place to actually see them.

Peliku 1.2 brings project tasks, global tasks and work from different spaces together without losing the context behind each one.
